Custom Tools & Private AI
Tools and pipelines built around how your office already works, yours to keep and run. Plus an AI use policy, cloud-vs-local data rules and, if you want them, AI models running on your own hardware.
- Starting at $4,000
- On-premises from $7,500
- Plus travel
- On-site or hybrid
Who it's for
- GCs and subs with a team that repeats the same manual steps on every bid or every job.
- Companies whose people are already pasting work into public AI tools, with no rules about what's allowed.
- Owners who want AI working on their data without that data leaving the building.
The problem
Off-the-shelf construction software solves the average company's problem. Your office has its own templates, its own workarounds and its own spreadsheets that one person understands. The hours go into the steps in between: copying schedules out of PDFs, comparing one revision to the last, stripping pricing before something goes to the field, rebuilding the same report every week.
Meanwhile, your team is probably already using AI chat tools on company documents, with no policy on what's safe to paste in.
What's included
- Workflow review. We sit with your team, on-site or remotely, and find the repeated manual steps worth automating.
- Custom tools and pipelines, built to fit your files, templates and naming, not the other way around.
- AI use policy. Plain-language rules for your team on what can and can't go into AI tools.
- Cloud-vs-local data rules. Which data stays on your hardware, which can be scrubbed and sent to cloud models, and which never leaves.
- Optional on-premises models. Open-weight AI models running on your own infrastructure. We spec the hardware.
- Handoff and training, so your team can run the tools without us.
What we build
Every tool is built for the client who asked for it. Here are the kinds of things we build, by area.
Bid day & estimating
- Takeoff vs. estimate audits that flag quantities that drifted between the takeoff and the workbook.
- Bid leveling matrices that pull sub proposals into your bid tab format.
- Estimate workbook checks for broken formulas, hard-coded overrides and totals that don't foot.
- Exclusion trackers that make sure every excluded item is picked up by someone.
Drawings & revisions
- Schedule revision reconcilers for door hardware, equipment, fixture and finish schedules that show exactly what changed between issues.
- Equipment schedule extraction from PDFs, turned into clean, sortable spreadsheets.
- Revision comparison logs that list what changed sheet by sheet between drawing sets.
- Addendum trackers that tie each addendum item to the estimate line it affects.
Submittals & shop drawings
- Submittal package generators for any trade, from mechanical equipment and roofing to framing and finishes, assembling product data, cover sheets and indexes in your format.
- Submittal register builders that pull required submittals out of the spec book.
- Product data compilers that gather and label cut sheets by spec section.
Office to field
- Field-safe foreman binders with pricing stripped, so crews get the scope without the numbers.
- P6 activity filtering that gives each foreman only the activities for their area and crew.
- Labor-loading dashboards that compare scheduled work to available crews.
- Look-ahead packets built automatically from the current schedule.
Cost & change control
- Change-order reconcilers that match change orders against the original scope and pricing.
- Change-order vs. submittal checks that catch approved substitutions that never made it into a change order.
- Budget balancers that tie the estimate, the budget and the buyout together.
- Job-cost reconciliation that compares actual cost to estimate, line by line.
Team visibility
- Cross-project task dashboards so everyone sees what's due across every job.
- Bid calendars and pipeline boards that pull from your bid log.
- Labor-loading views across projects, so crew conflicts show up before they happen.
- Open-item trackers for RFIs, clarifications and submittals across the whole team.
If your team does it twice by hand, we can probably build it.
What you get
- Working tools your team keeps and runs, with the source code and documentation.
- A written AI use policy and cloud-vs-local data rules your team can follow.
- A hardware spec and on-premises setup, if you choose to run models in-house.
- Training for the people who'll use the tools day to day.
Timeline
We scope each engagement on a short call before quoting. A single focused tool can be ready in a few weeks. Larger builds and on-premises setups take longer and are delivered in stages, so your team is using something useful early. We confirm the timeline with the quote.
Pricing
Starting at $4,000. On-premises from $7,500. Plus travel. We quote a fixed scope before work starts. The price moves with:
- How many tools and how many steps each one covers.
- How messy the inputs are. Clean native files go faster than scanned drawings and inconsistent templates.
- Whether models run on-premises. On-premises work includes hardware spec, setup and testing on your infrastructure.
- Policy work. A short AI use policy is simpler than a full data-handling framework.
- On-site time. We work nationwide. On-site days are billed with travel at cost.
FAQs
Do we own what you build?
Yes. The tools run on your systems, and you get the source code and documentation.
Do we have to buy hardware?
Only if you want models running on-premises. If so, we spec the hardware to fit your workload and budget, and you buy it directly.
Are you going to sell us a software subscription?
No. We're not a software vendor. You pay for the build, and the tools are yours. If you want ongoing upkeep, that's the Fractional Precon-Tech Advisor, and it's optional.
What if our people already use ChatGPT or similar tools?
That's common, and it's why the AI use policy is part of this service. We'll help you decide what's allowed, what isn't and what safer setup to give your team instead.
The estimator still makes every call. We just make sure nothing goes unread.
